Missed PMI Procedure

1. Purpose
To ensure vehicles or equipment that miss a scheduled Preventive Maintenance Inspection (PMI) are controlled, assessed, and returned to service safely without increasing risk of failure or incident.
2. Definition
A Missed PMI occurs when a vehicle:
Exceeds the scheduled PMI date or mileage as defined in the Operators Licence
Has no documented PMI approval within the required interval
3. Usage Restriction
Vehicles with a missed PMI must NOT be operated
Exception only if:
Written authorisation is provided by Maintenance and Management
Operation is strictly limited to movement for inspection or repair
4. Inspection & Maintenance
Perform full PMI inspection by authorised maintenance personnel before vehicle re-enters service.
Address and document all identified defects
Following a major defect or damage it is best practice to perform a PMI regardless of previous schedule.
5. Clearance to Return to Service
A vehicle may return to service only when:
PMI is completed and documented
All defects are rectified
DO NOT USE tag is removed by authorised personnel
6. Documentation & Records
Update maintenance system with completed PMI
Adjust PMI schedule in line with the Operators Licence
Record reason for missed PMI
7. Accountability
Supervisors must ensure PMI schedules are followed
Repeated missed PMIs may result in:
Disciplinary action
Review of scheduling or resource planning
Operator Licence restrictions
8. Continuous Improvement
Review PMI scheduling process
Implement reminders or automated alerts
Conduct periodic audits of PMI compliance
